Determine the ID you want the person to have
Select the Update IDs iconImageThis will open a list of all people in your data base.
Find the person whose ID you want to change and select them by highlighting their name and clicking next.
The next step depends on what you want to do:
If this is a new young adult who has previously been a dependent, but is now on his/her own, you will select ‘Next available Family ID,’ and make this person the .01 record (if still single).
If this is a member of a family, but as a child was assigned an .01 or .02 ID, you would select, ‘Next ID in same family.’ This will keep this person in the same family prefix, but will move the suffix to the next after the last existing.
If this is a member of a family, but somehow was given an ID that is not in the family sequence of IDs, select, ‘Enter New ID Number in a Family for this person.’ Then you will give this person the family number, decimal, and the next available two digit suffix (.03, .04, etc.)
The following is from our Help Files entitled, “When a Couple Divorces.”
When a Couple Divorces
Give one person a new Family ID .01 number (Update ID Number on the People Data Entry panel).
If the couple had joint stewardship contributions in the current year, you may set both giving records to Single account types, recognizing that contributions made while they had a joint account are stored in the original .01 record.
If the couple has children, assign them the Family ID number of the parent who has primary custody (Update ID Number). If you desire, you may enter the other parent’s address as a Secondary Address (Personal tab in Manage People) in the children’s records.
If the spouse uses a different Last Name, after assigning the new ID number, be sure to edit the Family Last Name and Family Salutation fields on the Family tab.
The following is from our Help Files entitled, “When a Couple Marries.”
When a Couple Marries
If the new Head of Household, has an existing .01 ID number, change the new spouse’s ID number to become the .02 record with the same Family ID as the .01 (Update ID Number on the People Data Entry panel).
If the new Head of Household still has the ID number assigned to the parent’s family, change both newlyweds to a new Family ID number (Update ID Number).
If both have given money in the current year, and they want a joint contribution statement for the year, transfer the spouse’s contribution data into the .01 record (Transfer Contribution History on the Contributions Data Entry panel).
Define their Account Type as Joint (Edit Account Types option in Contribution Account Type on the Contributions Data Entry panel).
Change their Marital Status field and enter the date of their marriage in the Anniversary field (Personal tab in Manage People on the People Data Entry panel).
