CMS Fund Accounting - How Can I Re Number my Shortcut Numbers?

PROBLEM: You would like to renumber the Shortcut Numbers in your Chart of Accounts.

SOLUTION: You can use the CMS Renumber Utility to renumber those Shortcut Numbers!

Make a backup of your data before you begin!

If you would like the Renumber Utility to reassign Shortcut Numbers by ones or fives, based on your current Account Code (see below), you must use the Optional Shortcut Number Ranges.

From CMS Ledger & Payables, click Options | Shortcut Number Ranges.

Click the dot at "Use the following ranges" and pop in the desired shortcut number ranges for your various account types. Click OK when complete.

 

Exit CMS Fund Accounting.

Double click the CMS Fund Accounting icon, but click Cancel at the Security display.

 

This will take you to a big, empty, gray screen with Paradox for Windows in the upper left corner.

Click File | Open | Form | and open RENUMBER.FDL.

 

You can choose to:

  • Click the button "Assign in Account Code order per Shortcut Ranges by Ones" to let the system reassign your Shortcut Numbers by ones

  • Click the button "Assign in Account Code order per Shortcut Ranges by Fives" to let the system reassign your Shortcut Numbers by fives

  • Click the button "Assign Same as Current Shortcut" to assign the same as current Shortcut Number and just fix up a few

  • Manually type in your new Shortcut Numbers

 

You can also combine two accounts of the same type (two Asset accounts, two Expense Accounts, etc.)!

Just give them the same shortcut number and when you click Process, the system will combine the information from both accounts into one.

NOTE: You cannot combine two accounts that are not of the same type, i.e. Dedicated with Expense.

Remember, every account listed MUST have something in that New Shortcut column, even if it's the old number.

Click Process.

Once complete, close out of Paradox and go back into CMS Fund Accounting.
