CMS People - CMS People Products Password Maintenance

You can use the CMS Password and Security to define who is allowed access to various items in the CMS System.

From CMS, click File | Passwords.

Click the New Password button on the right side of the screen to create the new password.

Click the down arrow at Passwords and select the password you would like to edit.

Determine the levels of access for the person(s) who will be assigned this password.  

For example, if you do not want the person(s) assigned this password to have any access to the Contribution System, set the Contribution Access to "No".

You can also choose to allow or not allow access to Backup, Restore, Utilities, Password, and Upgrades.

Normally, Restore, Utilities, Password and Upgrade Access are given to those people with higher levels of access.

You can also set the access to various items within each module.  Click the down arrow at Access to set the item access to either FULL, READ, or NONE.

Click the Advanced button at Attendance Access to set the various levels of access:

  • Change Attend -Change existing attendance on the Detail Tab
  • Define Group - Change the definitions of an existing group
  • Delete Group - Delete an existing group and its attendance history
  • Delete Household/Persons - Deleting households and/or persons
  • Delete Prior Attendance - Delete attendance history within a group
  • Enter/Edit Attendance - Enter and Edit existing Attendance data
  • Groups - Edit existing Groups and their definitions
  • Household/Persons - Changing existing households
  • Merge File - Exporting data in a CSV file format
  • Move Prior Attendance - Move the attendance history from one group to another
  • New Groups - Create new groups in the system
  • New Household/Persons - Adding new households/persons to the system
  • Reports - Creating and Printing Attendance Reports
  • Speed Update - Globally updating fields, codes, dates, etc.
  • User Defined Reports - Used only if you've purchased the Crystal Reports report writer application

Click the Advanced button at Contribution Access to set the various levels of access:

  • Calculate Pledge Balances - Used mainly for pledge reporting
  • Contribution Types Setup - Adding and Changing Contribution Types (Cash, Check, Non-Cash, Stocks, etc.)
  • Define Codes - Adding, Changing, Removing Codes (Membership Status, Participation Status, Titles)
  • Define Contribution Year - This became unavailable a few updates ago.
  • Delete Household/Persons - Deleting households and/or persons
  • Edit List Report - Print the edit list report, separate from the remaining reports in Contributions
  • End of Calendar Year -Perform EOY for Contribution year other than January-December
  • End of Contribution Year - Perform EOY for Contribution year January-December
  • End of Quarter - Perform EOQ
  • Enter Contributions - Entering Contributions
  • Fund Setup - Adding, Changing, Deleting Funds
  • Household/Persons - Changing existing households
  • Merge File - Exporting data in a CSV file format
  • Move Funds - Process to change fund numbers in the system
  • New Household/Persons - Adding new households/persons to the system
  • Pledge Entry Definition - When using Quick Pledge Entry
  • Post Contributions - Posting Contributions that have been entered
  • Quick Envelope Number Entry - To globally assign, reassign & remove Envelope Numbers
  • Quick Next Year Envelope Number Entry - To globally assign, reassign & remove Next Year Envelope Numbers
  • Quick Pledge Entry - To globally assign and change pledges
  • Quick Next Year Pledge Entry - To globally assign and change Next Year pledges
  • Reports - Creating and Printing Contribution Reports
  • Setup Pledge Drive - Process to assign Potential/Not Potential pledge type
  • Speed Update - Globally updating fields, codes, dates, etc.
  • User Defined Reports - Used only if you've purchased the Crystal Reports report writer application

Click the Advanced button at Membership Access to set the various levels of access:

  • Advance Students - increase grade levels entered by one grade, usually done once a year.
  • Class Completion - Mark participants in a class from Registered to Completed
  • Custom Fields - Renaming the House and Person Custom Fields 
  • Define Codes - Adding, Changing, Removing Codes (Activities, Membership Status, Baptism status, etc.)
  • Delete Household/Persons - Deleting households and/or persons
  • Delete Inactives - Globally deleting those people marked for removal, usually done once a year
  • Household/Persons - Changing existing households
  • Locate & Replace - Not currently used in the system
  • Merge File - Preparing data in a CSV file format
  • New Household/Persons - Adding new households/persons to the system
  • Participation - Entering Sunday's worship attendance
  • Picture Notes - Entering and/or Viewing Household/Person's Notes
  • Remove Activities - Globally deleting Activities
  • Remove Classes - Globally deleting classes
  • Reports - Creating and Printing Membership Reports
  • Reset Participation - Resetting the Sunday worship attendance data, usually performed once a year
  • Speed Update - Globally updating fields, codes, dates, etc.
  • User Defined Reports - Used only if you've purchased the Crystal Reports report writer application

Click the Advanced button at Outreach Access to set the various levels of access:

  • Actions - Edit existing Actions
  • Add Action - Enter New Actions
  • Add Action Code -Enter New Action Codes
  • Add Provider - Designate New Provider
  • Complete Action - Mark previously entered action as Complete
  • Delete Action Code - Delete Action Codes
  • Delete Action - Delete Actions 
  • Delete Household/Persons - Deleting households and/or persons
  • Delete Provider - Remove Provider Designation
  • Household/Persons - Changing existing households
  • Merge File - Preparing data in a CSV file format
  • More Info - Viewing and Editing of Action Notes
  • New Household/Persons - Adding new households/persons to the system
  • Options - Adding, Editing and Deleting Reminder Options
  • Picture/Notes - Entering and/or Viewing Household/Person's Notes
  • Reports - Creating and Printing Outreach Reports
  • Speed Update - Globally updating fields, codes, dates, etc.
