CMS People - How to Find People in CMS?

You can use the CMS Find process in several ways to locate the person, and just the information you're interested in for that person!

First, let's look at the Default Settings for your Find Method.  From your CMS People Products System (Membership, Contribution, Attendance or Outreach), click Options | Find Method.

You can set the Find Method in your CMS to either:

Faster - (Fewer Capabilities) is a method of searching by name that is very fast but has some limitations.  This method is NOT able to search by partial Last Name and Partial First Name simultaneously.  It lets you search by entering either a:

  • Exact Last Name and Exact First Name
  • Exact Last Name and Partial First Name
  • Partial Last Name and No First Name
  • No Last Name and Partial First Name
  • Envelope Number

NOTE: Faster find is recommended for clients on an older or slower computers/network with a large number of persons entered in the database.

The Find display with a Faster Find Method will display an alphabetical listing of the people entered in the database (see below).

Slower - (More Capabilities) is a method of searching without the limitations of the Faster Find Method.

Slower find lets you search by entering:

  • Partial Last Name and Partial First Name
  • Exact Last Name and Exact First Name
  • Exact Last Name and Partial First Name
  • Partial Last Name and No First Name
  • No Last Name and Partial First Name
  • Envelope Number

The Slower Find Method is recommended for clients who have newer, faster computers/network and who have less than 5000 families entered in the database.

The Find display with a Slower Find Method will NOT display an alphabetical listing of the people entered in the database (see below).

NOTE: The Find Method is a Global Setting, which means that when you change the Find Method on one workstation, it will change the Find Method on ALL workstations!

Choose your preferred Find Method and click Close.

You can access Find from either the Find People button on the Main Menu:

Or from the Find button located on the right side of the Household or Person Display:

 

You may search for people already entered in your database by:

  • Last Name
  • First Name
  • Envelope Number

The system will automatically default to the Household Tab upon a successful find.  However, you may want to go directly to a tab other than the Household Tab.

Click the Go To House button at the top of the Find display.  You can select any Membership, Contribution, Attendance, or Outreach Household tab* to display upon a successful find.

Click the Go To Person button at the top of the Find display.  You can select any Membership, Contribution, Attendance, or Outreach Person tab* to display upon a successful find.

For example, if you were entering in multiple Activity Codes per person, you may want to set the find to default to the Person Activities tab.  Then each time you perform a find, the system will default to that individuals Activity Tab.

When you exit that CMS System, the find will default back to the Household tab.
