Field

Description

Batch Information

Total

Information-only fields.

Cash: shows total dollar amount of cash transactions to be included in the selected batch..

Pledge: shows total dollar amount of pledges to be included in the selected batch.

Transaction Count: a count of the number of transactions entered so far in the selected batch.

Balance

Information-only fields.

Cash: cash total amount (see previous entry in this table) minus the actual dollar amount of the cash transactions posted so far in the batch.

Pledges: pledge total amount minus the actual dollar amount of the pledges posted so far in the batch.

Posting Filters

Family Registration Status

Select the registration status of the donors you are posting contributions for. Choose one of the following:Registered, Unregistered, Both.

Family Group

 

Default Posting Data

Batch

List of open batches.

From the list, select the batch that contains the contribution. If you are not posting within a batch, select None.

Fund

List of funds. The default fund for the selected batch is shown.

From the list, select the fund the batch is associated with.

Payment Type

List of payment types:

Cash: select this option if the method of payment is cash or check.

Credit: select this option if the method of payment is a credit card.

Matching Gifts: select this option if the payment is made through a matching gift program.

Soft Gifts: select this option if the payment is a non-cash contribution, such as household items or clothing.

Stock Gifts: select this option if the contribution is in the form of shares of stock or bond certificates.

Posting Options

Input For

Select how your postings are sorted for the current data entry session: Family (by family) or Member (by member)..

Input By

Select how you want the application to search for the donor in your database: Envelope Number (by envelope number), Name (by family or member last name), or ID (by Family DUID).

 

This field is associated with the Post To field.

Posting

Posting Date

Date the contribution was received.

 When you specify a date range for contribution statements, the system uses the posting date to determine what information to include in the statements.

Pledge

List of pledges. If the contribution is associated with a pledge, select the pledge from the list.

Post To

Search field. This field is associated with the option you selected for Input By (in the Posting Options section). For example, if you chose to input by the donor's last name, type the first few letters of the donor's last name in this field. If you do not need to search and want to enter contributions using the donor's envelope number, use the Env # field.

ID

Information-only field. Family DUID of the selected donor.

Env #

Donor's envelope number.

If you know the donor's envelope number, use this field to speed data entry. Simply type the envelope number and then tab to subsequent fields to post the contribution.

Amount

Dollar amount of the pledge or contribution.

Check Number

Check number (if the payment was made by check). Type the check number in this field.

Memo

Text entry field that enables you to type additional information related to the posting.

Last Contribution Posted

Information-only field. Shows information for the last contribution posted. When entering a high volume of contributions, the information in this field can help you keep track of where you are in the data entry process.

Donor's name.

Donor's Family DUID.

Street number and street name.

Address 2

Apartment number or building number.

City

Name of city.

State

Name of state.

Last Contribution Posted

(Information-only fields)

Date

Date the previous contribution was posted.

Donor

Name of the donor whose contribution was previously posted.

Env #

Envelope number of the donor whose contribution was previously posted.

Amount

Amount of the contribution that was previously posted.
