This article explains how tax receipts are generated in ParishSOFT using the Donor Reports page and highlights important configuration considerations that affect whether receipts are created and what information they include.
Important Notes Before Generating Tax Receipts
The following conditions directly affect whether contributions appear on a tax receipt.
Eligible Contributions
Only contributions that meet both of the following conditions will appear on tax receipts:
- The contribution was entered on the Contributions page, or
- The contribution exists in a closed batch
“Send Mail” Setting
If a family does not have Send Mail selected in their family record:
- A tax receipt will not be generated for that family unless
- You enable Include families with Send Mail unchecked in:
- Donor Reports → Gear icon → Filters → Other Filters
Family vs. Member Contributions
- Contributions posted to a family record appear on the family tax receipt
- Contributions posted to a member record appear only on that member’s tax receipt
Where to Generate Tax Receipts
To access tax receipts:
- Navigate to Reports
- Select Donor
- Choose Tax Receipt Report from the report dropdown
Receipt Type Options
When configuring the Tax Receipt Report, you must select a Receipt Type. This selection determines how contributions are grouped and displayed.
Regular Receipts
- Includes cash‑type contributions such as cash and checks
- Total all qualifying contributions together
- Does not include a Description field
Stocks and Gifts in Kind Receipts
- Generates a separate receipt for each non‑cash contribution
- Includes contributions such as:
- Stock gifts
- Securities
- Gifts in kind (for example, tangible items)
- Includes a Description field detailing the donated item
Configuring the Tax Receipt Report
The configuration for Tax Receipts follows the same general process as for other Donor Reports.
When configuring the report, take care to select the correct:
- Body of Statement
- Signature
- Letterhead
- Printed Name

Generating Tax Receipt Output Files
After configuration, generate the output file. It is recommended to start with a Preview before creating an Official file.
PDF Preview
- Reflects all selected fields and configuration settings
- Displays a draft version of the receipt
- Includes language such as “Draft Only: Not an Official Receipt.”
- Does not generate receipt numbers
Excel Preview
- Includes report‑level filters
- Does not include:
- Signature
- Letterhead
- Body of Statement
- Printed Name
- Useful for review or data analysis
