PSFS Offering | Donor Reports - Statements: EOY | How to configure your tax statements: Signature, Letterhead, Body of Statement, Printed Name

  1. Navigate to the Donor Reports page.
    • On the Navigation Bar, expand Offering → Reports and select Donor.
      -or-
    • On the Home → Offering page, select Donor from the Reports card.

  2. Once you are on the Donor Reports page, select your report from the report dropdown.

Many of the fields on this page are self-explanatory such as the minimum and maximum amount fields and the date range fields. If you have questions about those fields, please see our in-app help files. Articles on how to populate the more complicated fields can be accessed through this article.

How to use the signature field

This section contains information on the following signature options

 

 

How to ensure no signature image is printed on the selected donor report

  • If you do not want a signature image to print on your donor report and the signature field on the Donor Reports page is blank, you do not have to take any further action.
  • If your organization chooses to hand-sign printed statements or to rubber stamp signatures, choose none (default) in the signature field dropdown. The signature field will then display without text.

How to select a signature image that is already on file

Once you have added a signature image, you may select the image you would like to use by clicking the dropdown arrow. The signature field will then display the text you used to label the imported signature image. Select the signature you want to use.

How to use the letterhead field

How to configure statements to print with no letterhead graphic with or without the organization name and address

  • If you want to include the organization name and address, click the Letterhead dropdown and select Use Organization Name and Address. See the bottom example in the image of the statements above.

  • If you do not want to include the organization name and address on the statements, if the letterhead field is blank already, you do not have to take any further action. If it is not blank, select the word None from the dropdown. See the top example in the image of the statements above.

How to select a saved letterhead graphic

Once you have added a letterhead graphic, you may select the graphic by clicking the dropdown arrow. After it is selected, the text you used to label the letterhead graphic will display in the Letterhead field. Select the configuration you want to use.

Body of Statement

This section contains information on the following 'body of statement' options

  • No 'body of statement': How to ensure no 'body of statement' prints on the donor report. This option is not recommended. To see how the statement or letter looks without a 'body of statement', print one before adding it.
  • Select a 'body of statement': How to change which 'body of statement' prints on the donor report. As you know, it is essential to create and select a different body of statement for contribution statements as compared to the non-giver letter or a pledge statement.
  • How to create a 'body of statement' Note: Before adding a body of statement, we suggest generating one giving statement, pledge statement, or a non-giver letter without the text to see how it looks and what information is already present.

 

 

How to ensure no 'body of statement' prints on your donor report

  • If you do not want a 'body of statement' to print on your donor report and the 'body of statement' field on the Donor Reports page is blank, you do not have to take any further action.
  • If your organization chooses to not include a short message or a letter right in the statement, choose none (default) in the 'body of statement' field dropdown. The 'body of statement' field will then display without text. This is not recommended.

How to select a 'body of statement' that is already on file

Once you have added a 'body of statement', you may select the 'body of statement' you would like to use by clicking the dropdown arrow. The 'body of statement' field will then display the text you used to label the 'body of statement' text.

 

How to use the Printed Name field

This section contains information on the following Printed Name field options

 

 

How to ensure no printed name is printed on the donor report

  • If you do not want a printed name to appear on your donor report and the printed name field on the Donor Reports page is blank, you do not have to take any further action.
  • If you do not want a printed name to appear on your statement but there is currently text showing in this field, click the down-arrow and choose none (default) in the printed name field dropdown. The printed name field will then display without text.
