Typical Data Locations in Other Software

Below you will see options for the typical data location for backing up or extracting your data for other software programs.  If your software isn't listed, you may need to contact that software's customer support to determine where your data or data backup is located to send in for conversion.

 

Logos II back up

Below are general instructions to assist you with backing up your data out of Logos II for conversion into ParishSOFT Family Suite.  These instructions should help guide you.

Step 1

Click on the [System & Users] Tab and [Backup] in the Ribbon.

Step 2

Follow the prompts: Please note—this must be done once for the data files and once for the Security files.

Step 3

For a normal backup you would use the default directory and name, but if you are backing up your data to restore it to a new computer, you will want to browse for your zip drive.

Step 4

At first it will show you the default drive. But you will want to click on ‘Computer’ as shown and then click on the letter for the zip drive. It will most likely be under the two shown here.

Step 5

Browse to a place on your computer where you can easily find the backup.  We recommend including the date of the backup, so it would be named something like: LOGOSII 06-05-2019

One the data has completed backing up, you are not ready to upload the file to the ParishSOFT ftp site your were provided.

 

ACS Data Export

Below are general instructions to assist you with exporting your data out of ACS for conversion into ParishSOFT Family Suite.  Your screens may look slightly different depending on your version of ACS.  These instructions should help guide you.

*If you need instructions specific to your version of ACS please contact ACS Support.

Step 1

From ACS People Click on [Searches]

Step 2

In the window that opens select the following options and Click on [Advanced Export]

Step 3

In the window that opens Click on the [Create New Export] button.

Step 4

Be sure to select the [Include Deactivated Records] option.

Step 5

Switch to the [Included Data] tab.

Step 6

Select All the check box options.

Step 7

Select each of the 4 contribution buttons and make sure they have the same date/year range.

Step 8

Switch to the [Format] tab and select the Microsoft Access option.

Step 9

Click the [Run Export] button.

Step 10

At this point the Export will begin to process and could take several minutes.

Step 11

Once the export has finished processing you will be asked to Name and select a destination for your file.

Step 12

Finally you will be asked if you want to confirm your export by opening MS Access. You may select No.

Note:  Depending on the size of your database the export process could run for a couple of hours.

Once the data has been exported you are now ready to upload the file to the ParishSOFT ftp site you were provided.

 

Our Parish Family Data Export

Below are general instructions to assist you with exporting your data out of Our Parish Family for conversion into ParishSOFT Family Suite.  These instructions should help guide you.

Step 1

There is a file named PfamCurr that contains all the information needed to convert your data.    You will first need to locate that.

You will have a directory named opfamilyv8, the file should be found in that directory.    Every computer that uses OPF will have the opfamilyv8 directory, the file needed will only be found on the main computer.

Once the file is located make a note of the location.   In this example it is C:\opfamilyv8 but it could be on a shared drive and have a different letter.

Step 2

Open Access.    You may be prompted for a user name and password, that would be what you use to Access OPF.

Step3

Click on the mceclip8.png that is found in the upper left hand corner and choose new.   You will be prompted to give it a name, we suggest your POL with us and OPF, so 1234OPF.

Step 4

Select Create and you will see a screen like this.

Step 5

Choose External Data → New Data Source → From Database → Access

You will then browse for the file you created previously and click on the Ok button.

Step 7

All the tables will be displayed, select Select All

Then press OK.    The data will be loaded into the new Access database which may take a little time.

Step 8

Once that is complete choose the mceclip8.png in the upper left hand corner again and choose Save As and  save the file on your desktop so it is easier to find when doing the upload to the FTP site.

Once the data has been exported you are now ready to upload the file to the ParishSOFT ftp site you were provided.

 

Servant Keeper Data Export

Below are general instructions to assist you with exporting your data out of Servant Keeper for conversion into ParishSOFT Family Suite.  These instructions should help guide you.

You will need to generate three excel or .txt files –
• Family Information
• Member Information
• Contribution Information
Each file will need to have both the individual ID and the family ID included

Step 1

For the Family and Member information files use Membership Manager

Choose all individual records

Select your fields to export.

For the Family Table select the fields you are using – they will be fields with this icon mceclip17.png

At a minimum you need to have the family number, address, city, enabled profile, home phone, home phone unlisted, mailing name, member status, state, zip code. If you use Secondary addresses you will need to include those. You could add envelope numbers if you wish them to be on the family record.

Use themceclip20.png to move the fields selected to the right hand column

Be aware that this process may take quite a while to run.

Step 4

After you have chosen all of your fields and the file is complete choose save as file and save it as an excel file.

Step 5

For the Member Table select the fields you are using – they will be fields with this iconmceclip21.png

You must include the Family Id and the Individual Id and then at a minimum you need to have the First Name, Gender, Maiden Name, Member Status, Middle Name, Last Name, Relationship, Suffix and Title. You will also want to choose all the sacramental fields, birth date, cell phone, email, employer, occupation and other fields that you use and want converted.

Be aware that this process may take quite a while to run.

Step 6

After you have chosen all of your fields and the file is complete choose save as file and save it as an excel file.

Step 7

For Contributions use the Contribution Manager

Choose Listings and List Individuals’ Contributions

Step 9

Select the fields that you want, being sure to include both the Individual ID and the Family ID.

Selecting the defaults and adding those two fields will give you the information needed for the conversion.

The dates will default to current year and will need to be changed if you want other year’s information converted. You will want to select Show Split Transaction Detail.

Step 10

You will need to do a save as.

Excel can only hold 65,384 records, if you have more than that you will need to save as a .txt file.
