How to print checks
To print a check, you must first ensure your software:
- is set up properly to print checks
- has an account code set up as a bank account.
- has the check layout properly set up for your particular checks and printer.
Once you have completed all of the steps to set up your system for check printing, the first step in the check printing process is to enter a bill. A "bill" must be entered for any check you wish to write out of PSA, even if it is not initiated from a vendor invoice.
Printing a check to pay a bill is a multi-stepped process:
Step 1: Select the payments button - takes you to the screen to select which bills you would like to pay.
Step 2: Select the bank account; this may already be auto-populated.
Step 3: Select the bills you want to pay
Step 4: Click the print checks button - allows you to review the bills selected in check form; no check number has yet been assigned at this point; you can back out at this point and start over. To exit this screen and edit the bill, simply click on the Bills icon.
Step 5: Click the create checks button - once this button has been clicked, the checks have been created and assigned a check number. There is no starting over at this point without deleting or voiding the checks. However, you may come back later and print these checks if you do not want to print them now.
Step 6: Click the print selected button - to print the checks
Select the Payments Button
Once bills have been entered, when you click the Payments button, a list of unpaid bills will display. If a message displays to your screen that There are checks available for reprinting from a previous unsuccessful attempt, you may want to read the help article: How to print checks from a previous unsuccessful attempt or clear the print checks queue.
Go to Step 2 to select the bank account.
Select the bank account
Go to Step 3 to select the bills you want to pay.
Select the bills you want to pay
Mark the bills you want to pay by clicking the box to the right of the Pay Amount field.
Go to Step 4 to review the information.
-
Click the Print Checks Button
Then, click Print Checks at the bottom of the screen which will take you to the Create Checks screen. NOTE: Until you click the Create Checks at the bottom of this screen, no checks have been created and the bill may still be edited (as long as the bill is dated in the current accounting period). To exit this screen and edit the bill, simply click on the Bills icon.
Caution: Once you click the Create Checks button at the bottom of the next screen, checks have been created, a check number has been assigned, the bill may not be edited.
Go to Step 5 to create the checks.
-
Click the Create Checks Button
Caution: After taking this step, the bill may no longer be edited, and to update most details for this transaction, the check must be deleted or voided even though it has not been printed.
Go to Step 6 to print the checks.
-
Click the Print Selected Button
Clicking the Create Checks button at the bottom will take you to the Print Selected Screen. It will also record the check, and at this point if there is something wrong with the bill or if you have chosen the wrong bank account from which to print the check, you will need to void the check even though it has not yet been printed. See Help Article: How to void or delete a check (not yet printed)
You may do two things on this screen: 1) Deselect any checks you do not want to print (or re-print) 2) Change the check number (if it is not correct) by clicking into the Number column and changing the number.
You will want to ensure pop-ups are not blocked for this site. When you click the Print Selected button, you should see two things:
- A PDF pop-up should display the checks you are printing.
- Hiding behind the PDF is the Did checks print OK? screen.
- If the check PDF does not display on your screen, and if you are using firefox, mark the option for I didn't print any checks, then make sure you set up Firefox to Print Checks in ParishSOFT Accounting.
- Once you have set up Firefox for optimal use in ParishSOFT Accounting, you may now print them.
- Another thing to try is to hover your cursor over the browser icon in the taskbar and see if the PDF is hiding behind your browser.
- If not, mark the option, I didn't print any checks and click Submit.
- Then, ensure you have installed Adobe Acrobat Reader and it is set up as your default PDF reader. Then, you may now print them.
- If the check PDF does not display on your screen, and if you are using firefox, mark the option for I didn't print any checks, then make sure you set up Firefox to Print Checks in ParishSOFT Accounting.
