How to void/delete a check when the void/delete option is not available

If the void or delete options are not showing, (they would display as a button at the bottom center of the checks screen when a check was pulled up) either your permissions are restricted or the check has been cleared your bank reconciliation.

To see if a check has been cleared on your bank reconciliation do a check search.

  • Checks → Find Check → enter the check number (transaction number) and search.
  • The check will show at the bottom of the screen.

  • If there is a date in the Cleared Date column the check was cleared on your bank reconciliation.
    • If the check was cleared on a bank reconciliation the check will need to be marked as uncleared on the bank reconciliation before it can be voided or deleted.  This is not recommended because if it was marked as cleared, it was marked because it was on a bank statement. The only time it makes sense to unclear a check is if there were two checks for the same amount and the wrong one was marked as cleared.

In either case, if the check has been cleared erroneously (and you need the bank reconciliation re-opened so it can be fixed) or if the check has not been cleared on a bank reconciliation (indicating lack of permissions to delete or void a check), contact the church administrator or diocese for assistance since you will need them to resolve the issue.

Note: If the check is cleared on a credit card reconciliation the credit card reconciliation will need to be reopened and the transaction uncleared.
