How to move (import) a member from their original family record into another existing family record

Also described as, "How would I separate a record for a couple who is now divorced?"
Or as, "How do I move an adult child from their nuclear family into an existing family record with their new spouse?"
Or as, "How do I move the children of a divorced couple from one family record to another?"

  • If the person's original family record is a single-member family, you must prepare the person's family record before following the process described below.
  • If the person is moving from their original family record to their own new family record as head-of-household, follow this article.
  • If the person is moving from their original family record to a new family record that already exists, follow the next steps.

You must have View/Add/Edit/Import privileges to import a member into a family. 

  1. These steps work under two assumptions:
    • This assumes the family to which you are moving the member already exists and has at least one member. Go into this existing family record (to which you are moving the member). 
      • If the person is moving from their original family record to their own new family record as head-of-household, follow this article instead.
    • This assumes that if the person you are moving already exists in their own single-member family, you have prepared the person's single-member family record for this move.
  2. In the Member Details Tab of the family to which you are moving the member, import the member from the old family record as follows: 
  3. Select Import.

    The Member Search window is displayed. This window enables you to locate the member whose record you want to import into the selected family.
  4. Type the member's last name in the Last Name search field, and select a status from the Status menu. (If you do not know the member's status, select Unknown.) Then, click Search.

    The Member Search window is updated to show the last names of members matching your search criteria. In the following example, all members whose last name is "Allen" are listed.

  5. Select the name of the member that you want to import.

    In the following example, "Sarah Allen" is the member whose record is selected to be imported:
  6. Click Accept

    The application retrieves the member's record and displays it on the Import tab in the family's record:

  7. Review the record. Then, do one of the following:

    • Click Import to import the member's record and keep the family's record open. You can then perform other tasks, such as viewing and editing the records of other family members.

    • Click Import & Close to import the member's record and close the family's record.

    • Click Change Member to select a different member to import. Go back to Step 5.

    • Click Cancel to exit without importing the member's record.

 

After a member's record is imported, the application does the following:

  • Changes the newly imported member's Membership ID and Family DUID to those of the new family.
  • Changes the imported member's Role status to Unknown if the Role status was originally set to Head in the imported member's former record.
  • Generates a trace record to record information about the import and changes resulting from the import.
  • Transfers the pledge and contribution records associated with the member's record into the new family, but it does NOT transfer pledge and contribution records associated with the family's record.
