This article informs you of recently added features, enhancements, and changes made in ParishSOFT Family Suite.

 

Nov 20, 2024 – Version 5.0.39

Fixes

End Date Staff Assignments are missing selected position(s) or wrong position(s) shows instead

End Dated Assignments in Family Suite > Administration > Manage Staff do not show a selected Position when opened initially, and when opened after having viewed a non-End Dated Assignment they can show the incorrect Position.

Religious Ed: Inability To Edit "Uses Sessions" In Term Configuration

When trying to modify an existing Term that already has classes assigned to select the "Uses Sessions" option, the system is not currently showing the error message letting the user know that this change cannot be made.

Even though the 'Diocese Directory & Web Solutions' tab is highlighted, the 'ParishSOFT' Modules > Organizational Admin roles are still displayed

When the "Diocese Directory & Web Solutions" tab is selected in Administration > Manage Staff > staff profile, the permissions for the organization roles display.

Group Sacrament Entry dropdowns

When adding new sacraments through Group Sacrament Entry, some of the sacrament fields are disabled, so they can't be set through the Group Sacrament Entry process.

Clear Group Sacrament Entry Fields When Unselected

In Step 3 of Group Sacrament Entry, when users unselect a field, we are ensuring the value in the field is removed.

We have resolved an issue where customers could not Review & Add New Family under Suspense User Registration. The button was previously spinning indefinitely but now functions correctly. This fix addresses reports that began after the August 27 release and eliminates related console errors.

Fixes

Modify OBO Giving Endpoint Logic

Fixed an issue with the integration between Development and Giving, which was preventing the OBO field in Giving from displaying the parish organizations in the diocese. It incorrectly restricted the field to show only the Diocese org when the DM > Settings > "Pledge Management - only show OBO Parishes with goals" is NOT checked, when all parish organizations should have been shown instead.

Remove Envelope Numbers from Pledge Statements

Adds an option in the pledge statement remittance slip to let users remove the envelope number from printing on the slip if they don't need it.

Making a minor line spacing adjustment to the organization block section of the contribution statements, to provide a more professional-looking statement.

Family Suite Lost Password Process for MinistryID Users

We've modified the lost password process to ensure MinistryID users receive the correct lost password email. This change prevents confusion and ensures a better user experience for MinistryID users.

Fixes

No Organization License Error for My Own Church Users

Some My Own Church users have encountered a licensing error when attempting to log in to the mobile version of Family Suite, despite their organization being properly licensed. This has been resolved.

Development Manager Pledge Statements Issue

The new print scanline option on DM > Pledge Statement > Remittance Slip was printing 28 characters instead of the expected 27, seemingly due to an extra '0' at the end of the value. This has been resolved.

Password Reset Issue for MinistryID or PSFS Login Users

We've fixed a problem when resetting the password for a PSFS account from the Manage Staff section was preventing users from logging in via MinistryID or PSFS. Now, MinistryID users who reset their passwords through the Family Suite process can log in without any issues.

Duplicate Records in Religious Education Export

We've addressed an issue where users encountered duplicate records when exporting from the Student List page. This fix ensures clean and accurate data exports for Religious Education users.

New Endpoint to Retrieve Member Workgroup Names and IDs

A new endpoint has been created to return Member Workgroups for the organization(s) associated with the API key. The functionality of this endpoint is as follows:

If the API key is assigned to a "Diocese" organization type, member workgroups from all organizations will be returned.

If the API key is assigned to other organization types, only member workgroups from the organizations linked to the API key in the Admin Tool will be returned.

The data returned for each record includes the following fields: ID, Name, Organization ID

The Registration Status filter on the Religious Education > Students grid was occasionally failing to filter the grid correctly and could cause duplicate student records to display.

Export as CSV Icon Now Exports Families from Selected Organization Only

Exports as CSV process on the Family List grid was erroneously including records from all organizations accessible to the user, rather than limiting the export to the selected organization. This issue has been rectified, and the export process now correctly exports families solely from the chosen organization.

Staff members Unable to View Pastoral Notes

Users with the 'Edit/View Pastoral Notes' permission were experiencing difficulties accessing the Pastoral Notes field in Family Details.

Users Encounter "Object Reference Not Set To An Instance Of An Object" Error When Accessing Certain Families

Reports Tab Missing in Family Directory Without Print Access

Users lacking Print access rights across all ParishSOFT Family Suite modules couldn't view the Reports menu in Family Director, even when specifically granted Print access solely in Family Directory.

Error Occurs When Redirecting to Family from Student & Volunteers

When users select a student from the Students grid in Religious Education, they encounter an error message stating, “Could not find Family Suite address to redirect you back,” upon attempting to navigate to the associated Family Record.

Organization Search Missing When Adding Staff Assignments

When adding additional staff assignments to an existing staff record, the Organization Search did not list all possible organizations the user should see.

Accounting Integration Permission Section Missing from Staff Assignments

The Accounting Integration section in Manage Staff > Access Rights was not showing for organizations that are correctly linked to a PS Accounting database.

Merge Lookup Values Functionality Not Operational

Under Administration > Lookups, the Merge Lookup Values process was non-functional. Despite entering the Permanent and Duplicate Lookup IDs and clicking the Merge button, the page refreshed but the lookups remain unmerged.

Broken Link under Administration > Lookups

When clicking on the # symbol within Administration > Lookups, no action was occurring. This has been corrected and now triggers a display of the number of records, in the selected organization, which possess the corresponding lookup value within their record.

Error When Accessing DM or Offering

Users were receiving an error message of “You are not authorized to view this application” when attempting to access DM and Offering.

Add Family Registration Status Filter to Students Grid

A new field has been added to the Students tab so users can filter by the registration status of the family.  This allows users to easily identify the students whose families are not registered at the parish and export that list.

 The Registration Status filter is located under the 3 dot to the right of the Grades drop-down.

Print Donor Name and ID on All Contribution Statement Pages

When the Fund Totals section is the only data that prints on the last page of the contribution statements, the donor name and ID were not printing at the top of the page like they should have been.

IQ: When running IQ queries, append “ApplicationIntent=ReadOnly” to the connection string

A tech debt item to ensure that queries in the Intelligent Query module run against the replication report server instead of the main production server.

Allow Pledge Statements to be Filtered by Fulfillment Method

Users can now control which pledges have a statement printed by using a new Fulfillment Method filter in Pledge Statements, so they can choose to not send pledge statements to certain types of pledges.

Create Anointing of the Sick Sacrament Report

Adding Sacrament reports, both Expanded and Condensed versions, for the Anointing of the Sick sacrament.

Remove Secondary Organization Selector Fields

Removing the secondary organization selector from all remaining pages in family suite, to improve performance and workflows, and bring in alignment with Religious Education and Development Manager/Offering.

Update DMO API to Work with Accounting User API Key

After MFA is turned on for an organization in PSA, the integration between PSA and the Offering module will no longer work because it uses the user's PSA credentials. We are moving to a new API key method, and so the DMO API needs to be updated to accept an API key instead.

Add Session-Only Volunteers to CSV Export

Adding Session-level only volunteers to the Roster CSV Export, so they can be reported on like volunteers that are assigned to a specific class.

Filter Option to Show/Hide Unenrolled Students

New Endpoint Added to the Family Suite API – Retrieve all Ministers in a Specific Ministry

A new endpoint has been added that will allow Users to query for and retrieve a list of all ministers in a specific Ministry so that these members can be included in the Parish’s external reporting and communications processes.

The process is facilitated by the API passing the specific ‘ministryTypeID’ value. Data Fields returned will consist of:

  • MemberDUID
  • Member First Name
  • Member Last Name
  • Member Email Address
  • Ministry Type ID
  • Ministry Type Name
  • Ministry Role ID

A new endpoint has been added that will allow Users to query for and retrieve a list of all families in a specific Family Workgroup so that these families can be included in the Parish’s external reporting and communications processes.

The process is facilitated by the API passing the specific ‘workgoupID’ value. Data Fields returned will consist of:

  • FamilyDUID
  • Family Formal Mailing Name
  • Family Informal Name
  • Family Formal Salutation
  • Family Informal Salutation
  • Family Email Address

Note: If the specified ‘workgroupID’ value that is passed to the endpoint does not belong to an organization that is covered by the API Key, an error response is triggered.

Additional Columns Added to Roster Export (CSV) Report

In the Reports list, the standard Roster Report (CSV) will now include additional details for optimized reporting. This includes Family Primary Phone, Family Emergency Phone, Father Cell Phone, Father Work Phone, Mother Cell Phone, Mother Work Phone, Responsible Adult Cell Phone, Responsible Adult Work Phone, Family Address, Responsible Adult Address, Baptism Completed, Baptism Date, Confirmation Completed, Confirmation Date, Eucharist Completed, Eucharist Date, Reconciliation Prep Completed, Reconciliation Prep Date.

 If no data exists in a field, the corresponding field will be empty in the export file.

Development Manager & Offering

Pledge Statement Report Wizard Enhanced Filtering Option

As shown below, we added a new checkbox below the Only pledges with a balance with a corresponding Amount Field. This will allow you to set a predetermined balance below a specific total to be omitted from Contribution Statement generation. By checking the Minimum Balance checkbox, you can enter, edit, or remove the Amount Field.

The two new fields will be disabled unless the Only pledges with a balance checkbox is checked.

Values entered in the Amount Field will need to be greater than $.01.

 Pledge Statement Report Wizard Enhanced Spanish Text Option

You now have the option that will add Spanish translation to a limited number of Fields on the Pledge Statement.

As shown below, we added a new checkbox below the Only pledges with a balance and Include remittance slip checkboxes. When enabled, this new Add Spanish Translation checkbox will facilitate translations in the most essential fields on Remittance Slips.

This new Field will only be available for selection if the Include remittance slip checkbox is selected.

 Option to Remove Payment Options from Pledge Statements

You now have the option that will allow you to remove Cash and Check payment options from displaying on remittance slips of Pledge Statements, should you wish to limit payment options for Pledges. As shown below, a Remove Payment Options checkbox has been added to the Pledge Statement Report Wizard.

Pledge Statement Report Wizard Remittance Printing with Scanline 2 Value

You will now have the option to print remittance slips on Pledge Statements with Scanline 2 values for easier processing of the returned Remittance Slips.

As shown below, we added a new checkbox below the Only pledges with a balance and Include remittance slip checkboxes. When enabled, this new Add Scanline 2 checkbox will allow unique scanlines to be generated and printed on remittance slips. Scanline parameters will print the scanline ¼” to the bottom of the remittance slip, with no less than a ½” margin from the left of the remittance slip to the scanline and from the right of the remittance slip to the scanline.

Scanline 2 is simply the naming convention currently available in Development Manager and Offering. There is no Scanline/Scanline 1.

This new Field will only be available for selection if the Include remittance slip checkbox is selected.
