Funds Tab

In the fund record, the Fund tab provides general details about the fund, including its name, description, unique ID, and the account number assigned to it within your organization's Chart of Accounts. On this tab, you can edit details for a fund and remove those your organization no longer uses or needs.

Save

Click save.png to save changes made to a fund record.

Cancel

Click cancel button.png to cancel the previous editing action.

Delete

Click trashcan icon.png to remove a fund record.

Fields in the Fund Record

The list below provides information about each field on the tab. Refer to this list when adding a new fund or editing the details for an existing one.

An asterisk (*) indicates required information.

Fund ID

A numeric ID that identifies the fund in the DM system. The Fund ID is unique to each fund. It is assigned by the system when the fund is created and cannot be edited.

Organization

Name of the organization that created the fund. 

Name *

Descriptive name for the fund. For example, Hurricane Relief or 2019 Annual Appeal. 

This field allows only alphabetic and numeric characters. No special characters, such as the ampersand (&) or pound sign (#), are permitted. The maximum number of alphanumeric characters allowed in the fund name is 50. You cannot leave this field blank.

Account Number *

Number of the account associated with the fund in your organization's chart of accounts. For example, if your organization uses ParishSOFT Accounting, Quickbooks, or any other accounting software to manage its finances and accounting, this is the number of the account mapped to the fund.

Fund is Active

Use this checkbox to mark the status of the fund as one of the following: active or inactive. 

If you are currently using a fund, select the checkbox to mark it as "active." 

If you are no longer using a fund, mark it as inactive by selecting the checkbox (to remove the checkmark). After you mark a fund as inactive, it no longer appears in lists in these areas:

  • Batches > Batch Filter
  • Pledges > Pledge Filter
  • Reports > Parish Reports
  • Reports > Donor Reports (if All Funds is selected, these reports include data from inactive funds)
  • Batch > Batch Details (Edit Fund)

An inactive fund continues to appear in lists in these areas:

  • Reports > Other > Audit Reports
  • Funds

Start Date

The date the fund begins accepting gifts.

When used with the End Date field (see next entry), you can specify the period during which the fund accepts gifts. If you select both a start date and end date, gifts to the fund are accepted only during the date range you specify. If you do not want to specify a start date, leave this field blank. If you leave both the Start Date and End Date fields blank, the fund will always be available for you to post pledges and contributions to it. 

To set a start date for the fund, click calendar.png and select the date when the fund can begin accepting contributions. If you specify an end date, the start date must be before the end date or equal to the end date. 

Note: If you specify both a start and end date, and if the date you create the fund falls within the start and end date range, the fund is immediately available for selection in all "Add" functions. For example, when you add a batch or add a pledge, the fund is immediately available for selection from the Fund list. 

End Date

The date the fund stops accepting gifts.

When used with the Start Date field (see previous entry), you can specify the period during which the fund accepts gifts. If you select both a start and end date, gifts to the fund are accepted only within the specified date range. If you do not want to specify an end date, leave this field blank. If you leave both the End Date and Start Date fields blank, the fund will always be available for you to post pledges and contributions to it.

To set an end date for the fund, click calendar.png and select the date by which the fund can no longer accept contributions. This date must be after the start date or the same as the start date.

Note: If you specify both a start and end date, and if the date you create the fund falls within the start and end date range, the fund is immediately available for selection in all "Add" functions. For example, when you add a batch or add a pledge, the fund is immediately available for selection from the Fund list.

Add Pledge End Date

Opens the Add end date Pledges window, where you can search for pledges to assign an end date to. For instructions, go to How to Add an End Date to Pledges.

Fund Accepts Sustaining Gifts

By default, the checkbox is selected to indicate that the fund accepts sustaining gifts. To prevent a new fund from accepting sustaining gifts or stop an existing fund from accepting sustaining gifts, select (to uncheck) the checkbox. For information about sustaining gifts, go to About Sustaining Gifts.

Report on Sustaining Gifts up to

This field is used to specify an end date for reporting on sustaining gifts. The system provides a default end date, which you can change if desired. Either type a date into the field or click calendar.png and select the desired end date from the displayed calendar. 

The system incorporates sustaining gifts into a fund's future projections. Your organization's pledge reports will use the specified date to estimate future revenue from recurring payments to the fund. Therefore, choose a date in the future that you expect the fund to stop accepting recurring gifts. Your pledge reports will stop projecting income from sustaining gifts after the specified date.

Designations typically expressed as

Specifies how the values for earmarked contributions (designations) should be expressed. Select one: Dollar Amounts or Percentages.  

This fund requires pledges

Select the checkbox to indicate that the fund is pledge based. If you check this box, a pledge record must be created before contributions can be posted to the fund.

This fund receives tax deductible gifts

Select the checkbox only if contributions to the fund are tax deductible per IRS regulations. 

Contributions to tax-deductible funds appear on family contribution statements.

Scanline Lockbox Number

Six-digit, scannable number that identifies the lockbox for remittance processing.

This fund has Shortfall payments for parishes that miss their goal

Select the checkbox if the fund requires parishes that do not make the fundraising goal to make up the deficit. 

This fund has Refunds for parishes that exceed their goal.

Select the checkbox if the fund pays a refund to parishes that exceed the fundraising goal. 

Fundraising goals are set on the Goals tab.

Exceeded Refund Percentage

Enter the percentage of the amount over goal that will be refunded to parishes.  

This fund has Refunds for parishes that reach ___ % of their goal

Select the checkbox if the fund pays a refund to parishes that reach the specified percentage of the fundraising goal. Then, enter the target percent in the % of their goal field. 

Refund Percentage

For parishes that reach the target percent of their goal, enter the percentage that will be paid back.
