Granting Communications Module Permissions

This article explains how to give a staff member access to the Communication module in Family Suite and what to check if the module doesn't appear after you grant it.

 

Open Manage Staff

  1. Open the Families module.
  2. Select Administration.
  3. Select Manage Staff.

 

Grant Communication Access

  1. Select an existing staff member's name to change their access, or select Add New Staff in the toolbar to create a new staff member.

    Note: When you add a new staff member, a Find Member search opens first so you can pull in an existing member record. Select Cancel to enter the details by hand. First Name, Last Name, and Email Address are required.
     

  2. Select the Access Rights tab.
  3. Confirm Grant Login Privileges is selected.
  4. Select the ParishSOFT Modules tab.
  5. Select Edit Details.
  6. Under Communication, select Has Access.
  7. Select the rights this person needs for any other modules.
  8. Select Save & Close, or select Save to keep the record open.

Note: If you want someone to have Communication access and nothing else, select Has Access under Communication only, and leave the other modules unselected.

 

What Each Access Rights Tab Controls

  1. ParishSOFT Modules: Communication access, plus the View, Add/Edit, Delete, and Print rights for modules such as Families, Offering, Ministry Scheduler, Faith Formation, Tuition, and IQ.
  2. Diocese Directory & Web Solutions: Diocesan Admin, the Development permissions (ParishSOFT DDM, Development User, Development Admin, and File Imports), and Other Permissions (Has Secure Field Access and Merge Family Access).

 

Admin Access and Universal Admin

Basic module permissions are enough to send a message, so staff members don't need admin access to use Communication.

Communication has a single Has Access checkbox for each staff member, so there are no additional permission levels to choose from.

You cannot change the Organization Admin checkbox on the ParishSOFT Modules tab from Manage Staff. Admin permissions come from the Universal Admin setting in the Manage Users section of the Dashboard.

Note: If a staff member already has Universal Admin status, selecting Edit Details shows a message that you can't change their admin permissions here. To change them, remove the Universal Admin permission in Manage Users first.

 

When Communication Does Not Appear

Once access is granted, Communication appears in the Families module's left navigation.

At login, a staff member sees only the modules that are both licensed for your organization and permissioned for them. If you granted Has Access and the module still doesn't appear, your organization may not be licensed for Communication. Contact Support to confirm the license.
