Audit Family Names and Addresses using Donor Reports in Development Manager

This article explains how to use Donor Reports in Development to review family names and addresses, so your contribution statements (US) or tax receipts (Canada) are accurate before you mail them.

Why Audit Family Data?

An end-of-year (EOY) contribution statement (US) or tax receipt (Canada) summarizes everything a giver contributed during the year and lets you thank them. It's only accurate if your contribution and family data are correct, so find and fix empty or visibly incorrect family fields before you mail statements.

Export the Donor Report

  1. From the dashboard, select Development.
  2. In the left navigation menu, select Reports to expand the section.
  3. Select Donor. The Donor Reports page opens.
  4. From the Select a Donor Report dropdown, choose Contribution Detail Statement Report (US) or Tax Receipt (Canada).
  5. In Run Report For, choose Families, Members, or Family (include Member Gifts).
  6. Enter the Start Date and End Date for the statement period.
  7. Under Select one or more Funds, select each fund to include.
  8. Under Select one or more Family Groups, select each family group to include.
  9. Select the Configure (gear) icon, then Filters, and make sure all filters are selected. Gifts with a contribution type that isn't selected don't appear in the report. For details, see Configure Filters for Donor Reports.

Note: You don't need to change design fields such as Signature, Letterhead, or Body of Statement for this audit.

  10. Select the Export icon in the upper-right corner.
  1. Select Excel. The file downloads when it is ready.

Review the Report in Excel

  1. Open the downloaded Excel file.
  2. Sort by the name and address columns (Last Name, First Name, Family Address 1, Family City, Family State, and Family Zip) to find blanks or visibly incorrect data.

Note: The file has one row for each contribution, so a family can appear on several rows.

  3. Note each record that needs an update.

Update Family Records

  1. At the top left, select Offering to open the app menu.
  2. Select Families. The Family List opens under Family Directory.
  3. Find and update each record you noted. For details, see View or Update a Family Record.
