How to generate tax receipts
Before you begin, please note:
- Only postings entered on the Contributions page or that are in a closed batch will be present on tax receipts.
- If the family does not have the option to "Send Mail" checked in their family record, a tax receipt will not generate unless you mark the option to "Include families with Send Mail unchecked" by clicking the gear button on the top right of the Donor Reports page and selecting the Other Filters tab from the Filters option.
- If a gift was inadvertently posted to a member record instead of to the family record, it will only show up on the member tax receipt.

Navigate to the Donor Reports page.
- On the Navigation Bar, expand Development Manager → Reports and select Donor.
-or- - On the Home → Development page, select Donor from the Reports card.
- On the Navigation Bar, expand Development Manager → Reports and select Donor.

Once you are on the Donor Reports page, select Tax Receipt Report from the report dropdown.
Many of the fields on this page are self-explanatory such as the minimum amount field and the date range fields. If you have questions about those fields, please see our in-app help files. Receipt Type: Choose one of these - Regular or Stocks and Gifts in Kind
- When the report is configured for Regular, all contributions considered as cash contributions such as cash, checks, etc are totaled together. Receipts for this contribution type do not include a Description field.
- When the report is configured for Socks and Gifts in Kind, selecting this option generates a separate receipt for each non-cash contribution. Examples of non-cash contributions include stock gifts, stocks and security, gifts in kind (tangible goods like jewelry, art, clothing), to name a few. Receipts for this contribution type include a Description field that provides details about the non-cash gift that was donated.
- When the report is configured for Regular, all contributions considered as cash contributions such as cash, checks, etc are totaled together. Receipts for this contribution type do not include a Description field.

- Once you have configured your Tax Receipt, it is time to generate the output file. The three output options render files that are formatted very differently. We recommend you start with the Preview file and review the file, before generating the Offical file.
- The Offical file (PDF) generates all fields and configurations taken into account and renders a standard Canadian legal receipt. This version includes language similar to the following: "Official Receipt for Income Tax Purposes."
- The Preview file (PDF) generates with all fields and configurations taken into account and renders a draft version of the Canadian standard legal receipt. This version is for review purposes only and includes language similar to the following: "Draft Only: Not an Official Receipt."
- The Excel file does not include anything added or selected through the Configure → Contents option or any of the related fields such as Signature, Body of Statement, Printed Name, or Letterhead. It does include any report filters selected on the main Donor Reports page and also through the Configure → Filters options.
- This file is intended for your own records or for use with a third-party mail-merge application.
- ParishSOFT support will help with file generation, but if you use a third-party application for mail merge, support for that product must be pursued through the application designer.
