How do I know if my batch is in balance?
A batch that is not in balance will not allow you to move to the next stage in the Create > Review > Close process. Here's how to see if your batch is in balance and if not, how to fix it.
- Search the batch in question.
- Go into the Postings page.
- At the top of the Postings page, you will see the numbers that represent the counts and amounts entered into the Batch Details page and the actual counts and amounts you have entered through the postings.
- If the numbers on each side of the slash match, the batch is in balance.
- If the numbers do not match, the batch is not in balance. See How to fix a batch that is not in balance.
- If the numbers on each side of the slash match, the batch is in balance.
Note: Only the Contribution & Pledge Amount is required to move batches into Review and Closed status. The Contribution/Pledge Count fields are optional, but highly encouraged to maintain data integrity.
How to fix a batch that is not in balance
You must determine if the batch is out of balance because of an incorrect posting, or because the initial amount entered on the Batch Details page is incorrect.
- To get a list of postings, see the article, How to export contribution and pledge records from the Batch Postings page.
- If you have reviewed the batch and know the postings are correct, you will want to update the amounts on the Batch Details page.
